How to Write Payment Reminders With AI (3 Free Templates)
Use ChatGPT or any AI assistant to write polite but effective payment reminders for overdue invoices, in three stages, plus WhatsApp versions and a checklist before you send.
Chasing payments is one of the most uncomfortable jobs in any business. You want the money, but you also want to keep the customer. Many reminders fail because they are either too soft to act on or so harsh they damage the relationship.
AI assistants are very good at finding the middle ground. In this guide you will get three reminder templates you can generate and adapt in minutes, for email and WhatsApp.
Before you start: gather the facts
A reminder only works if it is specific. Have these ready:
- Invoice number and date
- Amount due
- Due date and how many days overdue
- Any earlier reminders and replies
- Your payment options (bank transfer, UPI, cheque)
- What your terms allow if payment does not come (for example, holding further supplies)
Check the amount and dates in your accounting software first. An AI-written reminder with a wrong amount is worse than no reminder at all.
Stage 1: The gentle reminder (around 7 days overdue)
Most late payments are simply forgotten. The first reminder should assume good faith.
Write a short, friendly payment reminder email to a customer.
Invoice [NO.] dated [DATE] for ₹[AMOUNT] was due on [DUE DATE].
Assume they may have missed it. Mention the invoice details, include our
payment options: [options], and offer to resend the invoice.
Under 90 words, with a subject line. No pressure, no legal language.
Stage 2: The firm reminder (around 21 days overdue)
Now you need a clear commitment, while staying polite.
Write a firm but polite second payment reminder. Invoice [NO.] for
₹[AMOUNT] is now [X] days overdue. We sent a reminder on [DATE] with no
reply. Ask them to confirm a payment date by [DATE]. Mention that we value
the relationship. Under 100 words, with a subject line.
Asking for a payment date is the key move. It turns a vague "will do" into a commitment you can follow up on.
Stage 3: The final reminder (around 45 days overdue)
The last reminder should explain the consequence that your terms actually allow, calmly and without threats.
Write a final payment reminder. Invoice [NO.] for ₹[AMOUNT] is [X] days
overdue despite reminders on [DATES]. As per our terms, further supplies
may be put on hold until the account is cleared. Ask for payment or a call
by [DATE]. Polite and professional. No legal threats. Under 110 words.
Before sending stage 3, confirm with your manager or owner what you are actually allowed to say. Never mention legal action or penalties unless that decision has been made by someone authorised, and the wording has been checked.
WhatsApp versions
Many customers in India respond faster on WhatsApp. After generating each email, ask:
Now write the same reminder as a WhatsApp message, under 50 words,
friendly, with the invoice number and amount.
Send WhatsApp reminders only to the business contacts who normally deal with payments, during working hours.
Sending a statement of account
For customers with several pending bills, a statement works better than separate reminders:
Here are the outstanding bills for a customer: [Bill No, Date, Amount,
Days overdue]. Write a short email sending their statement of account.
Mention the total and the oldest bill, and ask them to confirm the balance
or point out any difference within 7 days. Do not change any numbers.
Check the total in the email against your books before sending.
Turn them into templates
Once you like the wording, save each stage as a template with blanks:
[NO.],[DATE],[AMOUNT],[DUE DATE],[X] days- Your fixed payment options and terms
Next time you only fill in the blanks, which takes seconds. Share the templates with your team so every customer gets the same professional tone.
Checklist before you send
- The amount, invoice number and dates match your books.
- The customer and contact person are correct.
- The tone matches your relationship with this customer.
- Nothing in the message promises or threatens anything your business has not agreed to.
- If you used a public AI tool, you did not paste customer details you are not allowed to share. Placeholders like "Customer A" work just as well while drafting.
Make it a routine
Set a weekly time, for example Monday at 11 am, to review your ageing report and send the right stage of reminder to each overdue customer. With templates ready, this takes minutes instead of an afternoon.
