How to Reply to Google Reviews With AI (Good and Bad), With Templates

Replying to every Google review builds trust and helps your local visibility. Here is how to use AI to reply quickly to positive, mixed and negative reviews, with templates and the mistakes to avoid.

Customers read your replies to reviews almost as much as the reviews themselves. A thoughtful reply to a complaint can win more trust than a five-star review. But replying to every review takes time, so many businesses do not do it. AI can help you reply to each one in a minute, in your own voice.

Google reviews appear on your Google Business Profile, and you reply from the profile manager on Google Search or Maps, or the Google Business Profile app.

The golden rules

  • Reply to every review, good and bad, ideally within a few days.
  • Be personal: mention something specific from their review.
  • Stay calm and polite, even when the review is unfair.
  • Never reveal private details (order numbers, phone numbers, health or financial information).
  • Never offer rewards for reviews, and never post fake ones.
  • Read every AI draft and edit it before posting.

Replying to positive reviews

Short and warm, with a specific detail:

Write a short, warm reply to this Google review for my [business]. Thank
them by first name, mention one specific thing they liked, and invite them
back. Under 40 words. No generic phrases like "We value your feedback".
Review: "[paste review]"

Example result for a bakery:

Thank you, Priya! So happy the eggless chocolate cake was a hit at your daughter's birthday. Hope to bake for your next celebration too!

Replying to mixed reviews

Thank them, acknowledge the issue, and say what you are doing about it:

Write a reply to this mixed review. Thank them for the positive points,
acknowledge the problem without excuses, and say briefly what we have
changed: [what you changed]. Under 60 words. Polite and genuine.
Review: "[paste review]"

Replying to negative reviews

The goal is not to win the argument. It is to show future customers that you care and handle problems well.

Write a calm, professional reply to this negative review. Apologise for
their experience once, do not argue or blame, mention briefly what
happened only if it helps [facts], and invite them to contact us directly
at [phone/email] so we can make it right. Under 70 words.
Review: "[paste review]"

Before posting, check:

  • Does the reply sound defensive? Remove any "but" that explains why the customer is wrong.
  • Does it reveal anything private? Remove it.
  • Would a stranger reading it think, "This business handles problems well"?

Then actually solve the problem offline. Some customers update their review afterwards.

Fake or abusive reviews

If a review looks fake or breaks Google's policies (spam, offensive content, conflicts of interest), you can report it through your Business Profile. Reply politely and briefly in the meantime:

We could not find a record of this visit. Please contact us at [contact] so we can look into it.

Do not accuse the reviewer publicly.

Asking happy customers for reviews

Write a short, friendly WhatsApp message asking a customer who was happy
with their order to leave a Google review, with the link: [link].
Under 40 words. No pressure.

Send it only to genuinely happy customers, and never offer discounts or gifts in exchange for reviews.

Make it a weekly habit

Set ten minutes every Monday to reply to all new reviews. With AI drafting and you editing, ten minutes covers most small businesses.
