Lesson 6 of 6 · AI for Business Owners: Automate Daily Office Work

SOPs and Checklists Your Team Will Actually Follow

Get "how we do things" out of your head and into short SOPs and checklists, using AI to turn a voice note or rough steps into clear documents your team can use.

In many small businesses, the process lives in the owner's head. Staff keep asking "how do I do this?", mistakes repeat, and the owner cannot take a day off. Standard operating procedures (SOPs) and checklists fix this, but nobody has time to write them. With AI, a usable SOP takes about 20 minutes.

Step 1: Pick the right processes

Start with processes that are:

  • Repeated often (daily or weekly)
  • Done by different people
  • Costly when done wrong

Typical examples: opening and closing the shop, taking and confirming an order, packing and dispatch, handling returns, month-end paperwork, onboarding a new employee.

Step 2: Capture the process the easy way

You do not need to write neatly. Either:

  • Speak it: record a voice note on your phone explaining the process as if training a new person, then use your phone's or AI app's speech-to-text, or
  • List it: type rough steps in any order, with all the "don't forget" points

Step 3: Let AI structure it

Turn my rough description below into an SOP for [process] at my
[type of business].
Sections: Purpose (1 line), Who does it, When, What you need, Steps
(numbered, one action per step), Checks before finishing, Common
mistakes, Who to ask if something goes wrong.
Simple language for staff who may not read English fluently. Keep it
to one page. Do not add steps I did not mention; mark gaps as [CHECK].
"""
[paste your notes or transcript]
"""

Fill every [CHECK] yourself. Those gaps are usually the exact places where mistakes happen today.

Step 4: Make a checklist version

An SOP explains; a checklist reminds. Most staff will use the checklist daily:

Turn this SOP into a one-page checklist with checkboxes (☐), grouped by
stage. Short phrases, maximum 15 items.

Print it and stick it where the work happens, or pin it in the team's WhatsApp group.

Step 5: Make it understandable for everyone

If some staff are more comfortable in Hindi or another language:

Translate this checklist into simple Hindi. Keep product names, system
names and numbers in English as they appear at work.

Ask a team member to read the translation and confirm it makes sense.

Step 6: Test with the team

Give the SOP to someone who does not usually do the task, and watch them follow it. Wherever they hesitate or ask a question, the SOP needs a fix. Ask AI:

My team member got stuck at step 5 because [reason]. Rewrite that step
so it is clearer, and add a note for this situation.

Keep SOPs alive

  • Add a version and date at the bottom: "v2, November 2026".
  • Assign an owner for each SOP who updates it when the process changes.
  • Review the important SOPs every three months, or after any repeated mistake.
  • Keep all SOPs in one shared folder with simple names.

Build a small SOP library

Aim for five SOPs in the first month: your most repeated and most error-prone processes. Each one gives you back time, every week, for as long as your business runs.

Practice task

Choose one process you explain to staff again and again. Record a voice note or rough steps, turn it into an SOP and a checklist with AI, fill the gaps, and test it with a team member this week.

Key takeaways

  • Start with frequent, shared, error-prone processes.
  • Speak or list the steps roughly; let AI structure them and mark gaps as [CHECK].
  • Give staff a one-page checklist, in the language they read best.
  • Test with the team, version the SOP and review it regularly.
