Lesson 4 of 7 · AI for Accountants: Tally, GST Work and Reconciliation

Cleaning Exported Tally Data for Analysis

Turn Tally reports exported to Excel into clean, analysable tables, then use AI to build summaries of sales, expenses and receivables.

Tally reports are designed to be read on screen, not analysed. When you export a day book, ledger or sales register to Excel, you often get merged headers, subtotal rows, blank lines and amounts with Dr/Cr text. Before you can sum, filter or pivot, the data needs cleaning. AI can tell you exactly how.

Export the right report

Start from the report that is closest to the data you need:

  • Sales or purchase register for invoice-level analysis
  • Day book for all vouchers in a period
  • Ledger for one account's transactions
  • Ageing / bills outstanding for receivables and payables

Use the export option in the report (Alt+E in TallyPrime) and choose Excel format. Export the most detailed view you need: it is easier to summarise detail than to recover it.

Describe the mess to the AI

Open the export, copy the first 10 to 15 rows (with dummy names), and ask:

This is a sales register exported from TallyPrime to Excel (dummy names).
[paste rows]
I want one clean table with one row per invoice and columns: Date,
Voucher No, Party, Taxable Value, CGST, SGST, IGST, Total.
List every cleaning step needed, in order, using Excel 365. Give formulas
where needed. Do not delete anything until I have checked.

Common problems and fixes

Problem in the export Typical fix
Title rows and company name at the top Delete rows above the real header row
Merged header cells Unmerge and write one header per column
Subtotal and total rows mixed with data Filter them out (they usually have a blank voucher number), then delete
Blank rows between groups Filter blanks and delete the rows
Amounts like "12,500.00 Dr" Split the amount and Dr/Cr into two columns, then make Cr amounts negative if needed
Dates as text Convert with DATE, as in AI for Excel lesson 4
Party name only on the first row of a group Fill down: select the column, Go To Special → Blanks, type =cell above, Ctrl+Enter

Ask the AI for exact steps for any fix you have not done before, such as the fill-down trick:

Explain step by step how to fill blank cells in column C with the value
from the cell above, using Go To Special, in Excel 365.

Check the cleaned table against Tally

Cleaning is only safe if the totals still agree:

  1. Total Taxable Value and each tax column in your clean table.
  2. Compare with the totals shown in the same report in Tally.
  3. Count invoices and compare with the voucher count.

If anything differs, ask the AI what could cause it ("did I delete a data row as a subtotal?"), then find the row yourself.

Now analyse

Format the clean data as a table (Ctrl+T) and ask for summaries:

My clean sales table is named Sales with columns Date, VoucherNo, Party,
Taxable, CGST, SGST, IGST, Total. Suggest 5 useful monthly analyses for
the business owner, and for each one tell me whether to use a pivot table
or formulas, and how.

Useful examples: sales by month, top 10 customers, share of interstate vs local sales (IGST vs CGST/SGST), average invoice value, and customers who stopped buying.

Save the steps

Every month's export has the same mess. Write down your cleaning steps once (ask the AI to turn your notes into a checklist), or ask it about Power Query, which can repeat the same cleaning automatically every month.

Practice task

Export one month's sales register from Tally. Clean it into a proper table using the AI's step list, check the totals against Tally, and build one pivot showing sales by month and party.

Key takeaways

  • Export the most detailed report you need, in Excel format.
  • Ask the AI for an ordered list of cleaning steps for your exact export.
  • Always check totals and counts against the same report in Tally.
  • Save your steps as a checklist, or automate them with Power Query.
