Lesson 5 of 7 · AI for Accountants: Tally, GST Work and Reconciliation

Understanding Notices and Circulars in Plain Language

Use AI to read long tax notices, circulars and bank letters in simple words, pull out deadlines and actions, and then verify everything at the official source.

Tax notices, government circulars and bank letters are long, formal and full of section numbers. Understanding them quickly is valuable, and AI is good at turning formal language into plain language. But this is an Amber task from lesson 1: the AI helps you read, and you and a qualified professional decide what to do.

The safe method in five steps

  1. Remove confidential details from the text before pasting.
  2. Ask for a plain-language explanation based only on the text.
  3. Pull out actions and deadlines with quotes from the document.
  4. Verify on the official portal and against the original document.
  5. Decide with a CA for anything that needs a reply, payment or filing.

Step 1: Remove confidential details

Replace the taxpayer's name, GSTIN, PAN, address, reference numbers and amounts that are not needed for understanding:

Replace With
Company name and address "the taxpayer"
GSTIN / PAN [GSTIN] / [PAN]
Notice reference number [REF]
Officer's name "the officer"

Keep section numbers, form names and dates: those are needed to understand the notice.

Step 2: Explain based only on the text

I am an accountant in India. Below is the text of a notice we received,
with confidential details removed.
"""
[paste notice text]
"""
Based only on this text:
1. Explain in simple language what the notice is about (5 lines).
2. Which law, section or rule does it refer to?
3. What exactly is being asked of the taxpayer?
Do not add information that is not in the text. If something is unclear,
say it is unclear.

Step 3: Pull out actions and deadlines

From the same notice, make a table with columns: Action required,
Deadline, Exact line from the notice. If no deadline is stated for an
action, write "Not stated". Do not calculate dates.

"Exact line from the notice" lets you check every deadline in seconds. "Do not calculate dates" avoids a common error: the AI working out "30 days from the date of the notice" wrongly.

Step 4: Verify

  • Read the original notice again for every row in the table.
  • Log in to the GST portal (gst.gov.in) or income tax portal (incometax.gov.in) and check whether the notice appears there, with the same dates.
  • For circulars and notifications, find the official copy on the CBIC website (cbic.gov.in) or the issuing department's site. Check the date and whether a later circular changed it.

AI may know an older version of a rule or mix up similar sections. Treat its explanation as a reading aid, never as the authority.

Step 5: Decide with a professional

Use the AI's summary and table to brief your CA or senior quickly:

Turn the explanation and action table above into a short internal note
for our CA: what the notice is, what it asks, the deadlines with quotes,
and the documents we probably need to collect. Under 200 words.

The reply to the notice, any payment and any filing are decisions for the professional responsible. AI can help draft a reply only after they decide the position, and they must review every word.

Circulars and bank letters

The same method works for:

  • New circulars or notifications: "What changed compared to before, according to this text?"
  • Bank letters about KYC, charges or limits: "What do we need to do and by when?"
  • Long contracts or agreements: "List payment terms, penalties and notice periods with quotes."

Practice task

Take a public circular or notification (from cbic.gov.in or another official site) related to your work. Use steps 2 and 3 to get an explanation and an action table with quotes. Then verify each row against the original document and note anything the AI got wrong or left out.

Key takeaways

  • Remove confidential details, but keep sections, forms and dates.
  • Ask for explanations "based only on this text" and actions with exact quotes.
  • Do not let the AI calculate deadlines; read them from the notice and the portal.
  • Verify on official portals and let a qualified professional decide the response.
