Lesson 7 of 7 · AI for Everyone: Use AI Confidently at Work

Build Your Personal AI Toolkit

Turn what you have learned into a habit: a saved prompt library, standing instructions and a simple weekly routine.

Knowing how to use AI is one thing. Actually using it every day is another. In this final lesson you will put together a small toolkit so that AI becomes a habit, not something you forget about after a week.

1. Start a prompt library

Every time a prompt works well, save it. Within a month you will have a personal set of tested prompts for your real work.

Keep it simple: a note in your phone, a Word or Google document, or a OneNote page. For each prompt, save:

Name When I use it The prompt
Payment reminder Invoice overdue 7+ days You are an accounts executive… (full prompt with [blanks])
Meeting notes → actions After every team meeting Turn my rough notes into a summary and a table of…
Simple Hindi Explaining things to customers Translate this into simple Hindi that…

Leave the changing parts as [blanks] so you can reuse the prompt quickly.

Start now: add the prompts you saved in lessons 3 and 4.

2. Set standing instructions

Most assistants let you save instructions that apply to every chat, so you do not have to repeat yourself. The feature has different names in different apps (look in Settings for words like personalisation, custom instructions or preferences).

A good starting point:

I am a [job title] at a [type of company] in India.
Write in clear, simple English unless I ask for Hindi.
Keep answers short and practical, using bullet points where helpful.
Use Indian formats: ₹ for money, lakh and crore, and dates as DD-MM-YYYY.
If you are not sure about a fact, say so instead of guessing.

Do not put private information in these instructions. The same safety rules from lesson 6 apply.

3. A simple weekly routine

Habits stick when they are attached to things you already do:

When Use AI to…
Start of the day Plan your top three tasks from your to-do list
After every meeting Turn notes into action items (lesson 4)
Before sending an important email Check tone and clarity: "How could this be misunderstood?"
Friday afternoon Draft your weekly update or report from your notes
Once a week Try AI on one new task you have never used it for

4. Measure the time you save

In lesson 4 you timed two tasks. Keep doing this for a couple of weeks. A simple note is enough: task, minutes without AI, minutes with AI including checking.

This tells you where AI really helps you, and where it does not. It also gives you real numbers if you ever want to show your manager why AI is worth using.

5. Keep learning

AI tools change quickly, but the core skills from this course stay the same: clear prompts, careful checking and safe use. Next steps on this site:

  • Prompt Writing That Works: get consistently better answers with more advanced techniques.
  • A course for your field: Excel, Tally and accounting, programming or marketing. See all courses on the Courses page.
  • The AI tools directory: find tools for specific jobs on the AI Tools page.

Final practice task

Build your toolkit today:

  1. Create your prompt library with at least five prompts for your real work.
  2. Set up standing instructions in your assistant.
  3. Choose two moments from the weekly routine and put a reminder in your calendar for the next week.

Then mark this lesson complete. You have finished the course!

Key takeaways

  • Save prompts that work in a prompt library, with [blanks] for the parts that change.
  • Use standing instructions so every answer starts closer to what you need.
  • Tie AI use to moments you already have in your day.
  • Measure time saved, keep checking facts and keep learning one new use at a time.
