5 Office Tasks Every Small Business Should Hand to AI First
Not sure where to start with AI in your business? These five everyday office tasks save the most time with the least risk, with a simple prompt to start each one today.
Most small business owners know AI could save them time, but they do not know where to start. Trying everything at once usually ends with nothing changing. The better way: start with a few tasks that take a lot of time, are mostly writing or organising, and are low-risk because you check the result before it goes out.
Here are five tasks that fit almost every small business.
1. Answering common customer questions
Price, delivery areas, payment options, timings: the same questions arrive every day on WhatsApp and email.
Start today:
Here are the 10 questions customers ask us most: [list]. Our facts:
[prices, delivery areas and charges, payment options, hours]. Write a
short, friendly reply for each, under 50 words, ending with a next step.
Check every fact, then save the replies as WhatsApp Business quick replies or email templates. Your team can answer instantly, even when you are busy.
2. Payment reminders
Chasing payments is uncomfortable, so it gets delayed. Polite, ready-made reminders in three stages (gentle, firm, final) make it routine. See our full guide: How to Write Payment Reminders With AI.
3. Meeting notes and follow-ups
Decisions get lost when nobody writes them down.
Start today:
Here are my rough notes from today's meeting: [notes]. Turn them into a
3-line summary and a table: Task, Owner, Deadline. Write "Not decided"
where the notes are unclear.
Share the table in your team group the same day.
4. Quotes and proposals
Quotes that go out late lose business.
Start today:
Write a quotation cover message and line items in this format: [your
format]. Customer: [Customer A]. Items and final prices: [list]. Delivery
and payment terms: [terms]. Do not change prices or add items.
Always calculate totals and taxes in your billing software, not in the chat.
5. Writing down "how we do things"
When the process lives only in your head, every question comes to you. A short SOP (standard operating procedure) or checklist fixes that.
Start today: record a voice note explaining one process as if training a new person, convert it to text, then:
Turn this into a one-page SOP with numbered steps, checks before
finishing and common mistakes, in simple language. Mark gaps as [CHECK].
Test it with a team member and fix the steps where they get stuck.
What to keep for later
These are not good first tasks:
- Anything legal (contracts, notices) or tax-related, without a professional's review
- Large payments, banking or negotiations
- Hiring decisions about people
- Anything involving customers' or staff's personal data in public AI tools
Measure the time you save
For two weeks, note how long each task takes before and after AI, including checking. Real numbers show where AI truly helps your business, and where it does not.
