Lesson 7 of 8 · AI for Excel: Beginner to Confident

Charts and a One-Page Report From Raw Data

Choose the right chart, build it cleanly, and use AI to write the summary text for a one-page report your manager will actually read.

Numbers in a table tell the story slowly. A good chart and three clear sentences tell it in ten seconds. In this lesson you will turn a summary into a one-page report: the right charts, cleaned up, plus a short written summary drafted with AI and checked by you.

Pick the right chart

Ask the AI before you build:

I have monthly sales for April to October for 4 regions. My manager wants
to see the trend and which region is falling behind. Which Excel chart
type should I use and why? Suggest a title that states the main finding.

A quick guide:

You want to show Chart
Change over time Line chart
Comparing categories Bar or column chart
Parts of a whole (few parts) Pie or doughnut, only with 2 to 5 slices
Target vs actual Clustered column, or column plus line
Relationship between two numbers Scatter chart

Insert → Recommended Charts shows options that fit your selected data.

Build a clean chart

  1. Select your summary (for example, the pivot from lesson 6, or a small table).
  2. Insert → the chart type you chose.
  3. Clean it up:
    • Write a title that says the finding: "North region fell 18% since July", not "Sales chart".
    • Remove what does not help: heavy gridlines, 3D effects, unnecessary legends.
    • Use one highlight colour for the thing that matters, grey for the rest.
    • Label axes if the units are not obvious (₹ lakh, units, %).

Ask the AI for exact clicks when you get stuck:

In Excel 365, how do I make one bar in a column chart a different colour
from the others, and add data labels only to that bar?

Let AI draft the summary text

Copy your summary table (not the raw data) into the chat:

Here is our monthly sales summary by region (₹ lakh):
[paste table]
Write a 3-bullet summary for the director: the overall trend, the region
that needs attention with the numbers, and one suggested action.
Use only these numbers. Under 70 words.

Then check every number in the bullets against your table. If the AI says "North fell 18%", calculate it yourself in Excel. Summaries are where small number mistakes are most likely to slip in, and where they matter most.

Lay out the one-page report

A simple structure that works for most monthly reports:

  1. Title and period: "Sales Report, October 2026"
  2. Three-bullet summary at the top
  3. One or two charts with finding-style titles
  4. A small table with the key numbers
  5. Notes: data source and anything unusual this month

Put it on its own sheet, set Page Layout → Orientation and Fit to 1 page, and check File → Print preview. Export with File → Save As → PDF to share.

Reuse it every month

Build the report on top of a table and pivot that you refresh, so next month you only paste new data, click Refresh All, and ask the AI for a fresh summary from the updated numbers.

Practice task

Make a one-page report from data you already have: a pivot or summary table, one well-labelled chart with a finding-style title, and a three-bullet AI-drafted summary. Check every number in the summary yourself, then save it as PDF.

Key takeaways

  • Ask the AI which chart fits your message before building it.
  • Title charts with the finding, remove clutter, and highlight what matters.
  • Let AI draft the summary from your summary table, then verify every number.
  • Build on refreshable tables and pivots so next month takes minutes.
