Lesson 1 of 8 · AI for Excel: Beginner to Confident

How AI Assistants Understand Your Spreadsheet

The AI cannot see your file. Learn the five things to tell it about your sheet so every formula it writes fits your data.

Most bad Excel answers from AI have the same cause: the AI had to guess what your sheet looks like. It guessed column B when your data is in column D, or assumed dates when you have text. The fix is not a smarter AI. It is a clearer description.

The AI cannot see your file

Unless you upload the file (or use Copilot inside Excel), a chat assistant only knows what you type. Even when you do upload a file, a short description of what matters still gets better answers.

The five things to always include

What Example
Columns and headers "A = Date, B = Customer, C = Product, D = Qty, E = Amount"
Where the data is "Headers in row 1, data in rows 2 to 500, sheet name Sales"
What the data looks like "Dates are real Excel dates; Amount has no ₹ sign"
The result you want "Total Amount per Customer for October"
Your Excel version "Excel for Microsoft 365" or "Excel 2016"

The version matters because newer functions such as XLOOKUP, FILTER and UNIQUE are not available in older versions like Excel 2016 or 2019. If the AI does not know your version, it may give you a formula your Excel cannot run.

Show a few sample rows

The fastest way to describe your data is to paste a few rows. Copy three to five rows (with headers) from Excel and paste them into the chat. They arrive as text with columns separated by tabs, which the AI reads well.

I use Excel for Microsoft 365. Sheet "Sales", headers in row 1, data in
rows 2 to 800. Here are the first rows:

Date	Customer	Product	Qty	Amount
02-10-2026	Sharma Traders	Steel Bottle	12	3480
02-10-2026	Patel Electricals	Desk Lamp	4	2600
03-10-2026	Sharma Traders	Desk Lamp	2	1300

Write a formula for cell H2 that gives the total Amount for the customer
named in G2, only for October 2026. Explain how it works in 3 lines.

Privacy first: before pasting, replace real customer names, phone numbers and other private details with dummy values, as you learned in the safety lesson of AI for Everyone. The AI only needs the shape of the data, not the real names.

Tell it about the messy parts

Real data is rarely clean. Mention anything unusual:

  • "Some Amount cells are blank."
  • "Customer names have extra spaces sometimes."
  • "Dates in column A are text, not real dates." (Check: real dates align right by default; text aligns left.)
  • "There is a total row at the bottom."

These details decide which formula will work.

Using Copilot inside Excel

If your organisation has Microsoft 365 Copilot, you can ask questions in a panel inside Excel and it reads your sheet directly. It works best when your data is formatted as a table (select the data and press Ctrl+T). Availability depends on your Microsoft 365 plan, so check with your IT team. Everything in this course also works with any chat assistant.

Practice task

Open a spreadsheet you use often (or create a small sample table). Write a description using all five items and three sample rows with dummy names. Ask the AI one question about the data, for example "total per customer" or "count of orders per month". Keep the description: you will reuse it in the next lessons.

Key takeaways

  • The AI only knows what you tell it about your sheet.
  • Always give columns, location, data type, desired result and Excel version.
  • Paste three to five sample rows with dummy names.
  • Mention blanks, extra spaces, text dates and total rows.
